A closing note, before the close

Leave a
clear next
step.

A draft to review, adapt and send through your own authorised channel. It does not close a service or notify anybody.

Only include a route you have permission to share. You can describe it without putting a private address into the draft.

Complete the details to prepare a draft. Nothing is sent.

DRAFT / FOR YOUR REVIEW

The ending
needs a next step.

Describe the project, the intended date and where follow-up belongs. Your draft will appear on this sheet.

Review the date, permissions and provider arrangements before using the message.

Read it from
the other side
of the door.

Will they recognise the project?
Use a label the recipients understand, without including unrelated private details.
Is the next step actually available?
Check that the follow-up route is authorised and that someone is responsible for it.
Does the date match the real plan?
Send the message early enough to be useful and update it if the closing plan changes.

If the owner is changing too

A note to contacts
is only half
the handover.

Give the next owner the open tasks, scope and responsibilities through an appropriate private channel. A public closing note should not contain the whole project history.
